Volunteer Client Services Representative

We are seeking highly organized, self-motivated, experienced, reliable, and task-oriented Volunteer Client Services Representatives to join our team. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced non-profit environment.

As a successful candidate, you will be a quick learner, tech-savvy, have a high capacity for managing confidential information.

The volunteer Client Services representative will interact with clients of the organization to provide information in response to inquiries about our services to ensure client satisfaction.

Responsibilities:

  • Receiving and placing customer service telephone calls
  • Manage large amounts of incoming calls
  • Appointment scheduling and calendar management
  • Provide accurate, valid, and complete information to clients by using the right methods/tools.
  • Maintain solid customer relationships by handling questions and concerns with speed and professionalism.
  • Assist in managing client database records, assist to draft status reports on customer service issues.
  • Handle customer complaints, provide appropriate solutions and alternatives within the time limits; escalate to the appropriate department and follow up to ensure resolution
  • Follow communication procedures, guidelines, and policies
  • Take the extra mile to engage customers
  • Contribute to team effort by accomplishing related results as needed
  • Keep records of client interactions, process client accounts, and file documents

Requirements:

  • Excellent communication and presentation skills
  • Proven customer support experience or experience as a Client Service Representative
  • Strong phone contact handling skills and active listening
  • Customer orientation and ability to adapt/respond to different types of characters.
  • Ability to work under immediate supervision.
  • Experience using various computer programs such as Microsoft Office suites, Google Drive, Excel etc with an ability to become familiar with organization-specific programs and software. (The ability to use Zoom, Mail Chimp is an added advantage)
  • Ability to multi-task, prioritize, and manage time effectively.
  • Minimum of High school diploma.

Project Admin Assistant

The Volunteer Project Assistant will perform administrative tasks according to the directives of the Executive Project Administrator and ensure smooth communication between all relevant parties and support in the coordination of team members to achieve project objectives.

Responsibilities:

  • Correspondence and schedule management.


  • Support the Project Administrator to coordinate team members to achieve project objectives.
  • Planning of personnel structures.
  • Support with the preparation of project plans
  • Provide support in the management of the project office.
  • Internal and external communication.
  • Preparation and follow-up of meetings and presentations.
  • Acting as a stand-in for the project administrator.
  • General organizational tasks.
  • Have a thorough understanding of project objectives and goals, ensuring all team members have the resources needed.
  • Can multitask, work well under pressure, and work efficiently to meet strict deadlines.
  • Have excellent interpersonal skills for collaborating effectively with others.

Volunteer Administrative Assistant

The Volunteer Administrative Assistant will be responsible for performing several administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced non-profit environment.

As a successful candidate, you will be a quick learner, tech-savvy, have a high capacity for managing confidential information, and are able to bring projects from start to finish.

Responsibilities:

  • Administrative assistance.
  • Provide administrative support including scheduling, writing, and editing support for confidential correspondence, preparation of PowerPoint presentations, briefing notes, and support materials.
  • Answer phone calls, schedule meetings, and support visitors.
  • Carries out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Exhibits polite and professional communication via phone, e-mail, and mail.
  • Assist in coordinating office supply inventory, including monitoring supply levels and placing new orders with suppliers. This may include kitchen, bathroom, and training workshop supplies.
  • Support with ad hoc requests to further organizational priorities.
  • Maintain confidence and protects operations by keeping information confidential

Requirements

  • At least 18 years old
  • Strong organizational, schedule management, project management, and problem-solving skills with impeccable multi-tasking abilities.

We are seeking a highly organized, self-motivated, experienced, reliable, and task-oriented social media specialist to join our volunteer team.

Responsibilities:

  • Develop, implement, and manage social media pages.
  • Support in the management of the organization’s presence on social networking sites like Facebook, Twitter, YouTube, LinkedIn, Instagram, blogs, and forums.
  • Assist in identifying opportunities to engage stakeholders and targeted customers in conversations designed to solicit opinions, stimulate debates, clarify facts, etc

Photographer

We are seeking a highly organized, self-motivated, experienced, reliable, and task-oriented photographer to join our volunteer team.

Responsibilities:

  • Develop and print photographs


  • Mount and frame photographs
  • Determine picture composition, make technical adjustments to equipment and photograph subject
  • Operate computers to manipulate photographic images
  • Operate scanners to transfer photographic images to computers
  • Study requirements of a particular assignment and decide on type of camera, film, lighting and background accessories to be used
  • Take pictures of individuals, families, groups and public during CIA’s events
  • Use delicate instruments, such as optical microscopes attached to camera
